Therefore, the City of Reykjavik is announcing a tender for new tabletop equipment and software solutions for the City Council’s 23-31 delegates.

Due to an increase in City Council delegates, following the local elections in Reykjavik next May, the City of Reykjavik is preparing changes to the City Council‘s meeting hall and an overhaul of the room’s technical solutions. It is necessary to replace current equipment. Therefore, the City of Reykjavik is preparing a tender for new tabletop equipment and software solutions for the City Council’s 23-31 delegates.

The requirements for hardware include equipment for recording and broadcasting the city council meetings. This includes video distribution, audio recording, radio broadcasting and web A/V streaming. This also includes tabletop microphones for each delegate with modes of identification, voting and requests to speak. The software (conference or meeting management system) needs to fullfill general meeting management requirements; preparing an agenda and attaching files to each item, sending out invitations, managing the agenda and speakers list, writing minutes, handling voting and managing speaker time. The information on what happens during the meeting also needs to be extractable and made into metadata attached to the recording for the meetings to become fully searchable afterwards. A contract with a local associate will be required. The City of Reykjavik intends to finish testing of possible solutions in May, sign a contract in June and be up and running in mid to late August 2018.
