The benefits sought include improved customer service, economical purchasing, streamlining of kitchen and cafeteria operations, as well as improved quality control. The system is intended to catalogue all recipes, menus, customer information and food distribution in addition to supporting other relevant features listed in the following chapters. The aim is also to meet ever-increasing demands for sustainability and information about foods, i.e. their origin, nutritional value, allergens, carbon footprint and food waste. The buyer is looking for a standardized software solution (COTS), run as a software as a service (SaaS).
Tenders must include all costs incurred in relation to the system, including user licenses, implementation of the system, with minimum requirements (A) fulfilled, as well as assessment requirements (B) and other tendered requirements explained in this tender document, tender sheet and attachments. Training, hosting, data storage and the complete operation of the system throughout the contract period, including any possible extensions of the contract period. Tenders must also include services to the buyer and ongoing development and updates to the system, as well as the decommissioning of the system, once the contract is fulfilled, and the delivery of all data, cf. chapter 1.17.

This is a competitive procedure, where any company can submit a tender. Tenderers may submit tenders for one or more systems, but each tenderer may only submit one tender for each system they intend to offer.

84 months contract + with the possibility of 2 extensions of 18 months at a time. Therefore, the maximum total duration of the contract period could be 10 years.
